Job Description:

Essential Duties and Key Responsibilities:

The essential functions include, but are not limited to the following:

    • Maintain payroll system (ADP) by managing the design of the system, directing the collection, calculation, and entering of data for all US locations
    • Create and maintain payroll policies and procedures for the US business entities
    • Provide system support to all US payroll and human resources team members; Maintain and update the ADP self-managed portal for all team members; Provide main line of customer support for all team members
    • Calculate and process payroll for US corporate headquarter location; Coordinate the timely processing of weekly hourly payroll and bi-weekly salary payroll for all US locations through regular communications with the payroll processing teams
    • Communicate cash requirements for payroll to Corporate Treasury on a weekly basis
    • Calculate and fund monthly invoices for ST disability, LT disability and supplemental life; Upload weekly, Flex Spending, HSA, and 401k contribution files to 3rd party provider and prepare requests for funding
    • Generate payroll data for entries to the general ledger; Prepare monthly payroll accrual entries for all US sites; Reconcile Flex, HSA, other medical benefit invoices to payroll records
    • Facilitate the annual testing of 401k and other benefit nondiscrimination testing by providing required information to 3rd party providers
    • Monitor the timely preparation and filing of all monthly, quarterly, and annual federal, state and local payroll tax related reports
    • Review, approve and release annual W-2 reports; Coordinate processing, generating, and distribution of all North American 1095-C ACA forms
    • Prepare and file paperwork for Government required reporting, such as EEO-1; Perform Employment verifications; Distribute garnishment, levy and bankruptcy information to appropriate payroll locations; Complete and return Unemployment claim verifications
    • Assist with the various external audits (financial statement, 401k, and workers compensation) providing payroll and benefit related data and analyses
    • Update ADP Benefit Module with new Benefit plans, rates, changes; Prepare ADP Online Benefit Open Enrollment
  • Provide ad hoc payroll reports, as needed

Preferred Skills:

Core Requirements

  • Minimum of 10 years of accounting experience, with at least 3 years of progressive experience in a payroll management role. including responsibility for payroll processing in a multi-facility company, manufacturing operations knowledge preferred

  • Bachelor’s Degree in Accounting, Finance, or a similar field required

  • Must be efficient, with a strong attention to detail, decision-making, and judgement

  • Must have strong internal and external customer communication and collaboration support orientation, demonstrated professional demeanor, and the ability to maintain confidential information

  • Must have strong organization and planning skills, demonstrated ability to work independently and within teams, and exercise sound judgment and problem solving

  • Technical and comprehensive knowledge of all payroll and benefit systems, reporting and analysis, accounting, and payroll tax functions

  • Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook) and payroll software applications (ADP Workforce preferred)
